1. Introduction

This Privacy Policy describes how Infile ("we", "us", or "our") collects, uses, stores, and protects personal information when you use our document collection platform, client upload experience, website, and related services. Infile helps accounting firms and bookkeepers collect documents from clients through secure checklists, passwordless upload links, and automated reminders.

3. How We Use Your Information

We use personal information to:

  • Provide, operate, and improve the Infile platform
  • Send document requests, upload links, and automated client reminders on your behalf
  • Authenticate users, secure accounts, and prevent abuse
  • Process subscriptions and provide customer support
  • Monitor performance, troubleshoot issues, and develop new features

4. Client Documents and Sensitive Data

Documents uploaded through Infile may include tax records, financial statements, identification documents, and other sensitive information. We process this data only to provide document collection, storage, export, and reminder services. We do not use uploaded client documents for advertising or unrelated model training. Your firm determines what to collect from clients and is responsible for providing appropriate notices to clients where required.

5. Data Sharing

We do not sell personal information. We may share information with:

  • Service providers that help us host the platform, deliver email, process payments, and monitor reliability
  • Professional advisers where required for legal, accounting, or security purposes
  • Authorities when required by applicable law or to protect rights, safety, and platform integrity
  • Successors in connection with a merger, acquisition, or asset sale, subject to this policy

6. Data Security

We implement technical and organizational measures designed to protect personal information, including encrypted transport, access controls, and monitoring. No method of transmission or storage is completely secure. See our Security Policy for more detail.

7. Data Retention

We retain personal information for as long as needed to provide the service, meet legal obligations, resolve disputes, and enforce agreements. Firms may export or delete data subject to account settings and applicable retention requirements for billing, audit, or security records.

8. Your Rights

Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, and to receive a portable copy of your data.

If you are in the European Economic Area or United Kingdom, you may also have the right to lodge a complaint with your local data protection authority. Clients whose data is processed by a firm through Infile should generally contact that firm first, as the firm is typically the data controller for client information.

9. Cookies and Analytics

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the service is used. See our Cookie Policy for more detail.

10. International Transfers

Your information may be processed in countries other than your own. Where required, we use appropriate safeguards for cross-border transfers of personal data, such as standard contractual clauses or equivalent mechanisms.

11. Children

Infile is intended for business and professional use by firms. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us so we can take appropriate action.
